As an Order Support Specialist, you will be the primary point of contact for customers and internal teams regarding order inquiries, processing, and fulfillment. Your role will be pivotal in ensuring accuracy, efficiency, and customer satisfaction throughout the order lifecycle.

Responsibilities
- Order Processing: Efficiently and accurately intake customer orders and process all information in to the ERP and CRM systems so that all order requirements are properly documented for precise production. You will be responsible for tracking the production process to keep the customer up to date on production status and ensure that the order is on track for promised delivery dates.
- Customer Support: Address customer inquiries and concerns regarding orders, delivery timelines, claims, and product availability via phone, email, etc. Preparing order confirmations to send to the customer and following up in a timely manner to ensure a rapid production start.
- Issue Resolution: Investigate and resolve order discrepancies, delays, or issues promptly and professionally.
- Communication: Collaborate with Apex sales representatives, our customers, and all production teams to ensure seamless order fulfillment, which is pivotal for maintaining excellent customer relations.
- Documentation: Maintain accurate records of order activities, customer interactions, and resolution steps. Updating/monitoring customer’s information in the appropriate databases in order to achieve a high level of data integrity in our software programs.
- Collaboration: Work as a team player with all departments at Apex.
- Continuous Improvement: Provide feedback on process inefficiencies and suggest enhancements to improve customer satisfaction and operational efficiency.
- Inside Sales: enter orders for assigned territories, manage lead data, qualify leads, and help convert prospects into customers. Support the sales and marketing team to achieve sales goals efficiently and professionally, ensuring sales targets are met.
- Inventory/Technical Parts: Work closely with the purchasing and production teams to maintain inventory levels and decide which part(s) are required to fulfill special orders.
Qualifications
- Associate or bachelor’s degree preferred. Equivalent experience is also acceptable.
- Experience in the manufacturing industry and procurement is preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office. Experience with Salesforce or other ERM/CRM systems is a plus.
- Is result-oriented, independent and has the ability to multitask and thrive in a fast-paced environment.
- Problem-solving skills with a proactive approach to resolving challenges.
